Record condition without claiming more than you observed
A useful receipt separates a visible observation, its limits and the decision still required.
A receiving signature can be asked to carry too much meaning. It may record that a package arrived, but later be interpreted as confirmation of everything inside it. The scope of a condition check should therefore be explicit. What could the receiving person inspect, at what point, and against which description? A limited but accurately described observation is more useful than an ambiguous assurance.
The cultural-collection guide makes this distinction visible through fictional object and packed-piece records. It does not prescribe conservation, packing or handling treatment. Those decisions need appropriate real expertise. The planning task is to connect the agreed record with each handover and to show who can respond when the observed condition differs from the expectation.
Keep the record attached to the right piece
Use a stable packed-piece identifier and retain the relevant object or order reference. A photograph or note without that connection can be difficult to interpret after several similar pieces have moved. This demo does not collect uploads; a real organisation should use its own approved record process and permissions. The important relationship is between the observation and the physical piece actually checked.
State the limits of access. A receiver may see the outside of a sealed case but not its contents, or may inspect only selected surfaces before a vehicle must leave the unloading area. The record should not imply a full inspection when one did not occur. If another check is required later, keep it as a separate expected event with an owner and a suitable location.
A seal reference can support a chain of custody, but does not prove the condition of the cargo. It also does not resolve whether the packing method was suitable before the unit was closed. The full-container planning document asks who records and checks a seal while retaining packing suitability as a separate responsibility. Combining those questions under one field would obscure rather than simplify the scope.

Give a discrepancy an accountable next step
When the record differs, describe the observed fact before deciding its consequence. A marked panel, a crushed corner and a missing identifier are different questions. The receiving person may be authorised to record them without being authorised to approve repair, accept a substitute or dispose of packing. The exception path should identify who makes the required decision and what information they need.
Time and place can affect that decision. A gallery’s public opening hours do not necessarily provide a suitable receiving space or an available person authorised to inspect. An event venue may have a narrow unloading slot that ends before an issue is resolved. Those constraints belong in the original brief so that a real provider can help plan an appropriate handover rather than discover the gap on arrival.
Close the record only when the agreed check and decision have actually occurred. If access was limited or a question remains open, retain that status in the onward plan. The fictional cases demonstrate the structure without claiming any damage prevention or customer result. Their purpose is to keep a modest observation honest and the next responsibility visible.
