Plan regional cargo around the space and people needed at both ends. Packed dimensions, access restrictions and unloading arrangements matter as much as the distance between cities.
Start at the loading bay
Describe the loading method, vehicle access, package count and whether a forklift is available. A shipper who can load from a dock may still need a different arrangement at the receiving site. Record both ends rather than assuming they are symmetrical.
Choose a workable delivery window
The Rotterdam–Hamburg example allows one to two calendar days for linehaul after departure. It excludes waiting for a collection slot and a timed receiving appointment. A fixed event deadline should trigger a backward plan with contingency, not a shorter invented transit promise.
Carry the exception instructions
Give the receiving team a package list and an agreed contact role. If the count or packaging condition differs, record it and resolve the discrepancy before treating the handover as complete. Our local worksheet keeps that unresolved responsibility in the preview.
