Separate delivery from stand readiness
An exhibition load can arrive at the venue and still be unavailable to the installation team. Plan the gate slot, unloading, movement to the stand and build sequence as separate handovers. The case example uses a fictional display system and does not imply a real venue contract.
Write the site rules into the brief
Record access restrictions, the party allowed to unload and the documents needed at the gate. A carrier’s arrival allowance cannot answer venue-specific questions. The local project brief leaves those fields unresolved until the appropriate party confirms them.
Pack in installation order
If the frame is required before the graphics, the inventory should make that relationship visible. Grouping solely by carton size can leave the installation team searching for a critical part while other pieces occupy the working area.
Protect the exit window
Return packing and collection deserve a separate plan. A venue may need a stand cleared before a vehicle can collect; empty-crate storage may also end earlier than expected. The demo keeps reverse movement unconfirmed and offers an editable return checklist.
